Draw the caller’s journey
Map what happens during opening hours, after hours and when the intended person is unavailable. Include reception, departments, remote staff and callers who need a human immediately. Write the announcements and escalation route in plain language. A phone system should reflect how the business handles enquiries rather than reproduce a complicated organisation chart.
Check the existing environment
Inventory numbers, trunks, handsets, network ports, switches and internet dependencies. Confirm compatibility and service availability with the telecom provider. If a number must be retained, agree the transfer process before scheduling a cutover. Document equipment and subscription ownership so another provider can support the environment later.
Treat voice as a network workload
Calls are affected by the connection, local network and power as well as the phone platform. Test quality during normal office activity and identify the response to connectivity loss. Where call recording is proposed, define access, retention and the applicable notices or permissions with the business. Do not assume every recording feature should simply be switched on.
Test permissions and exceptional cases
Verify who can change routing, create extensions or make chargeable calls. Test busy lines, unavailable extensions, transferred calls, voicemail and after-hours handling. Ask staff to perform normal tasks from the actual handsets or approved applications. Training should include how to report a problem and how to use the agreed temporary process if the system is unavailable.
Handover the operating information
Keep an extension list, routing diagram, provider contacts, backup configuration and renewal schedule. Agree who updates announcements and staff access. If support is part of an AMC, specify whether it covers the platform, the handsets, the telecom connection or coordination between those parties.
