Plan a business email and collaboration migration without losing account ownership or overlooking shared data.
Inventory the source before creating accounts
List active users, shared addresses, aliases, groups, calendars and the files that teams collaborate on. Separate personal accounts from company-controlled accounts. Record domain ownership and who can approve DNS changes. Identify applications that send email or depend on existing sign-in. A user count alone is not a migration scope; shared data and permissions often require their own decisions.
Design access around company roles
Agree administrator accounts, recovery routes and the process for approving user access. Decide which data belongs to the business rather than a departing employee. Document group membership, external sharing and the way staff invite outside collaborators. Review security settings with the people who operate them. Check the current Google documentation for the selected edition rather than assuming every feature is included.
Pilot migration with representative users
Choose a small group with different needs: a mailbox with extensive history, a shared calendar and a team using shared files. Confirm the migration tool supports your actual source and target. Test search, permissions, invitations and access from the devices staff use. Record exceptions before scheduling the remaining users. Agree a rollback or interim access plan and communicate expected interruptions.
Treat handover as part of the project
Confirm who owns billing, licences, DNS records and administrator recovery information. Train staff on the workflows that changed and explain how to request support. Review retention, recovery and any additional backup requirements separately from simply moving mail. Keep a record of what was migrated, what was excluded and which issues remain open. Include the new environment in the ongoing support register.
