Compare responsibilities before comparing prices
Build a list of recurring work: staff onboarding, account administration, endpoint maintenance, network troubleshooting, backups and supplier coordination. Assign each task to your internal team, proposed provider or another supplier. A managed agreement, AMC and occasional call-out can all be useful; their names do not define their scope. Ask bidders to price the same asset register and coverage window.
Evaluate the support route with a real scenario
Describe a realistic interruption, such as reception losing access to its booking system while other staff keep working. Ask who receives the request, how impact is prioritised, what remote access is needed and when a site visit would be considered. Distinguish the time to acknowledge a request from diagnosis, repair and restoration. Request the escalation route in writing.
Keep ownership inside your business
Company email tenants, domain names, licences and configuration records should remain accessible to authorised company administrators. Ask how passwords are controlled and how access is removed when the engagement ends. An outsourced team can complement an internal IT person if decision authority and documentation are clear. Confirm holiday cover, supplier escalation and arrangements for additional project work.
