Match the configuration to actual work

List the tasks employees need to complete and the devices they use. Identify email, meetings, shared files and applications that must keep working during the change. Compare current licence documentation against those needs. Do not choose an edition only from the number of staff; administration, security and device requirements also affect the plan. Record the assumptions used in the quotation.

Set clear ownership of identity and data

Establish company-controlled administrator and billing access. Agree the approval route for new users, role changes and departures. Define where team documents live and who can share them externally. Review shared mailboxes and group permissions with department owners. Avoid relying on one employee account as the permanent owner of every important business resource.

Pilot migration and sharing decisions

Test a representative mailbox, a collaborative file workflow and the business applications that use email. Confirm calendars, permissions and external invitations behave as expected. Tell staff which workflows will change and how to get help. Separate problems caused by source data from problems caused by the target configuration. Use the pilot findings to refine the remaining migration schedule.

Operate the platform after launch

Define who reviews accounts, alerts, licences and settings. Record retention and recovery requirements, then compare them with the selected configuration and any additional backup arrangement. Follow current Microsoft guidance when implementing security controls. A successful rollout includes training and a support handover, not only the first successful sign-in. Review the setup when staff roles or business applications change.
