Start with the people and applications

An office move is an operational change as well as a physical installation. List the teams that must keep working, their business applications and the equipment those applications depend on. Identify remote workers, reception, meeting rooms, payment counters and shared printers. Record who can approve a temporary interruption. Agree what must be ready on the first working day and what can follow later. This makes the installation schedule reflect the business rather than the availability of the moving truck.

Survey the new premises before ordering equipment

Review the floor plan with the people responsible for the fit-out. Confirm rack space, power, cooling, cable routes and access to the premises. Mark desk outlets, wireless coverage areas, cameras, access readers and phone positions. Ask the internet provider about installation availability at the actual site; an advertised package is not confirmation that the circuit will be ready for your move. Record responsibilities between the landlord, fit-out contractor, telecom provider and IT team.

Prepare a migration and fallback plan

Inventory devices, serial numbers, licence ownership and configuration backups. Label equipment and cables so each item has a clear destination. Check that usable backups exist before disconnecting critical systems. Agree the sequence for shutting down, transporting and restoring equipment, including who will authorise the change. Define a fallback such as temporary remote access or a limited operating workspace if connectivity or a critical application is delayed. Avoid treating the move date as a promise that every dependency will be resolved.

Test business workflows before staff arrive

Test more than whether devices turn on. Check internet access, internal applications, email, printing, file permissions and ordinary user sign-in. Test Wi-Fi in meeting rooms and along working routes. Place incoming and outgoing calls, check extensions and confirm reception routing. If CCTV, fingerprint attendance or access control is part of the move, verify the agreed device coverage and user permissions. Use representative staff accounts rather than testing everything through an administrator account.

Close the move with documentation and support

Record the final device locations, network configuration, support contacts and outstanding items. Assign an owner and target date to each unresolved issue. Update the AMC asset register, backup jobs and monitoring scope so the new premises are included. Agree a support route for the first working days and define what is covered by the relocation scope. Keep company-controlled access to provider accounts and configuration records. A signed handover checklist gives both the business and installer a clear completion point.
