Describe the room and meeting habits

Record room dimensions, seating, lighting and acoustic conditions. List the meetings held there: internal presentations, remote customer calls, training or hybrid board meetings. Decide whether users bring laptops or use a dedicated room system. Identify the conferencing platforms and guest participation needed. A camera specification alone cannot explain how a remote participant will hear the person at the far end of the table.

Design the complete signal and user path

Consider the display, camera, microphones, speakers, network, power and control interface together. Compare a video bar with separate components using the actual room and use case. Ask how staff start a meeting, share content and change between supported platforms. Record compatibility assumptions for dedicated Teams, Zoom or Webex arrangements using current vendor documentation and the selected licences.

Test from the remote participant’s perspective

Run an authorised meeting with participants inside and outside the room. Test ordinary speaking positions, shared content, camera framing and the intended guest workflow. Include the lighting and room conditions staff will use. Check whether the user can recover from a simple failure such as a disconnected laptop. Record issues before accepting the installation rather than relying only on a successful local demonstration.

Include management and training

Document device ownership, update responsibility and the support route. Agree room instructions that staff can follow without knowing the installation details. Include configuration backups, licence renewals and access to any booking or control system. Review the arrangement when seating or platforms change. A successful AV project makes routine meetings understandable to users and supportable by the IT team.
