Define the business recovery requirement before assuming that email and file retention meet every backup need.
Describe the incident you need to recover from
Consider accidental deletion, a compromised administrator account, a disrupted application and a departing user whose data must remain available. Identify which mailboxes, files and collaborative resources matter in each case. Ask the business owner how much recent work can be recreated and how quickly access must return. These scenarios are more useful than a generic request to back up everything.
Separate the controls in the proposed arrangement
Retention, version history, recovery features and independent backups serve different purposes. Check the current platform documentation and your actual configuration before deciding what a control covers. Request a resource-by-resource matrix from any backup supplier. Record excluded objects, account dependencies, restore granularity and the administrator permissions the service needs. Avoid assuming that a tenant-wide subscription includes every resource by default.
Test the restore that staff will actually need
Select a representative mailbox item and a shared document with permissions. Agree a safe destination and an authorised person to supervise the test. Verify that the restored data is usable and available to the intended users. Record any manual steps and dependencies. A successful backup job is useful evidence, but a completed restore test answers a different operational question.
Make the arrangement maintainable
Include new users and newly created shared resources in the onboarding process. Monitor failures and assign an owner to resolve them. Document recovery credentials, commercial renewals and the process for changing providers. Review retention and storage assumptions with the business. Include backup checks in the IT service report so recovery readiness remains visible after the initial configuration.
