Create an approval and evidence checklist for CCTV, access devices, employee data and regulated business IT.

Identify the actual site and business activity

Requirements can depend on the emirate, premises, business activity, data and system being installed. Record these details before asking a supplier to quote. Separate building approvals, security-system requirements, healthcare controls and employee-data responsibilities. A requirement applied to another site is not proof of what applies to yours. Name the responsible business owner who will confirm the applicable requirements.

Verify approval claims with the right party

Ask the responsible authority and project parties what installer, equipment, design or inspection evidence is needed for the specific scope. Where applicable, consult SIRA in Dubai, the relevant Abu Dhabi security authority or the healthcare regulator. Confirm the current requirements and approval route before procurement. A manufacturer badge, vendor relationship and site approval are different forms of evidence; none should be substituted for another.

Build privacy decisions into the installation

For cameras, biometrics and employee monitoring, record the purpose, access permissions, retention decision and process for requests or corrections. Review these with the organisation’s responsible legal and governance owners. Describe what the installer will configure and what the business will operate. Confirm storage, remote access and outside-provider responsibilities. Technical configuration supports the agreed policy; it does not independently establish legal compliance.

Keep a usable evidence pack

Record approved scope, drawings, device details, test results, account ownership and handover decisions. For regulated healthcare IT, identify the applicable current regulator standard and the controls being assessed. Document limitations, outstanding actions and any independent review required. Techvenation’s proposal should state its actual responsibilities and evidence; it should not inherit another company’s certifications or claim that installing a product completes every approval obligation.
